GML is committed to protecting and respecting your privacy.

This policy (together with other documents referred to within) sets out which personal data we collect from you and how we process your personal data. GML is the data controller in accordance with the applicable data protection legislation and processes personal information both manually and using electronic means.

Information We May Collect From You

  • Your personal details, such as name, address, telephone number, email address, work experience, references, and skills in various areas, as well as information regarding your education. You may also send us a copy of your CV, cover letters for specific job applications, and any other attachments you believe may be useful to us.
  • If you authenticate with your LinkedIn account or other social media accounts, your profile data, your contacts’ public information, and your email address will be stored in our portal.
  • We also retain evaluations and feedback from our recruitment staff and from clients you have worked for. We collect and process your references to determine your suitability.
  • If you contact us, we may record the correspondence.
  • We may also ask you to fill out questionnaires which we use for survey purposes, although you are not required to answer them. We inform our clients of the average quality scores from such surveys and use them in our marketing materials. However, names are never connected to these average quality scores. For clarity, by answering the questionnaires, you consent to your data being processed as described in this privacy policy.
  • We may collect information about all users of our portal in aggregated form to gain a better understanding of the users as a group. This information, however, contains no personally identifiable data.
  • We may also collect information about your visits to our portal, including, but not limited to, traffic data, location data, weblogs, and other communication data, as well as the resources you access. Such information may, for example, help to make your future visits to our portal easier.
  • Please note that we use social media in the recruitment process for information gathering.

How We Use Your Data

All this data (“your information”) is collected and processed by GML for the following purposes:

  • To deliver our services to you.
  • To tailor job searches and matching as closely as possible to you, through an assessment of your suitability, qualifications, and skills—not only for current assignments/vacancies, but also for positions we believe may interest you in the future.
  • To keep you informed about future job opportunities via email, phone, and/or post.
  • Except where approval is required, we may also use your data for direct marketing, for example via email, messaging systems, or telephone. However, you may opt out of marketing messages at any time.
  • To protect the interests and rights of GML, our clients, and others.
  • To help us create, publish, and improve the content most relevant to you.
  • To further develop and enhance our website, portal, and other systems to better serve you.
  • To conduct surveys, including statistical and analytical research.
  • To generally comply with any legal obligation.

Third Parties

We use service providers to facilitate efficient use of your data and to offer you the best possible services and/or opportunities. It is therefore necessary for us to disclose your data to third parties, but only under the following circumstances:

  • To suppliers and their subcontractors, contractors, and agents: We may engage other companies and individuals globally to perform functions on our behalf, such as administrative activities related to our business. Such recipients only have access to the data needed to perform their function and are not authorised to use it for other purposes. These recipients are bound by contractual confidentiality and data protection obligations.
  • If required by law, we share your information with government or law enforcement agencies if, at our discretion, we determine we are obliged to do so.
  • In the event of company transactions (e.g., merger, acquisition, due diligence), disclosure of your data may be necessary.
  • To enforce or apply our terms of use.

Tip a Friend

If you use the “Tip a Friend” feature to send a job offer to a friend, you are responsible for obtaining your friend’s consent and for using their name and email address for such purpose. We do not store your friend’s data in our systems.

IP Addresses

We may collect information about your computer, including where available your IP address, operating system, and browser type, for system administration and to disclose such data in aggregated form to our advertisers. This is statistical data regarding our users’ browser actions and patterns and cannot identify you or any individual.

If your computer is shared by others, it is recommended you select “Do not remember my details” when logging out of your account. This will remove all cookie data. You may refuse to accept cookies by activating the setting in your browser which allows you to decline cookie storage. However, this may prevent you from accessing certain parts of the portal or using specific functionalities. Unless you have set your browser to refuse cookies, our systems will issue cookies each time you log on to the portal. Please note our advertisers may also use cookies, which we do not control.

Where We Store Your Data

GML operates within EU data protection laws.

The data we collect from you may be transferred to our clients, suppliers, and their subcontractors acting as data processors outside your country of residence, located within the EU/EEA and secure third countries (such as the USA). By submitting your personal data, you accept this transfer, storage, and processing. We endeavour to take all reasonably necessary measures to ensure your data is processed securely and in accordance with this policy.

Data Security

You are responsible for keeping your portal login details, especially any password we have provided or you have chosen, strictly confidential. You must not share your account with anyone else.

Although we do our best to protect your data, transmission of information via the internet is not 100% secure, and we cannot guarantee the security of data you send to the portal or to a third party. Any transmission is at your own risk. Once we have received your data and transferred it to a third party, we use strict procedures and security features to try to prevent unauthorised access.

How to Access, Amend, and Delete Your Data

You can access your data by logging into your account and making changes to the fields you deem necessary, or by contacting us for assistance.

We retain your data for 12 months (24 months if you have been tested with DiSC or Hogan). Under data protection legislation, you have a number of rights regarding our processing of your data. If you wish to exercise your rights, please contact us.

Right of access: You have the right to obtain access to the data we process about you as well as additional information.

Right to rectification: You have the right to have inaccurate data about yourself corrected.

Right to erasure: In particular cases, you have the right to have your data deleted before our usual general deletions occur.

Right to restriction of processing: In certain cases, you have the right to restrict the processing of your personal data. If you have the right to restrict processing, we may henceforth only process the data – apart from storage – with your consent, or for the establishment, exercise, or defence of legal claims, or to protect a person or vital public interests.

Right to object: In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You may also object to processing of your data for direct marketing purposes.

Right to data portability: In certain cases, you have the right to receive your personal data in a structured, commonly used, and machine-readable format, and to have this data transferred from one data controller to another without hindrance.

You may request deletion of your data by sending an email with your deletion request to stud@gml-hr.dk. Specific local requirements are outlined below. Please note it may be necessary to retain certain data to comply with laws and regulations for as long as legally permitted.
